Position Purpose
The Program Administrator provides a broad range of supports administratively and contributes practically to school sessions assisting the Coordinator in Program delivery. Overseeing governing documents and internal policies and ensuring compliance to Child Safe Standards with regards to all mentor record keeping from recruitment to exit.
Key Accountabilities/Objectives
Process all documentation for commencing mentors, this will include application processing to ensure all documentation is completed and recorded as per policy
Ensure that the records of the organisation are maintained as required by law and made available when required by authorised persons. These records may include funding documents, Child Safe reports, mentor and student details
Provide advice and support to mentors to ensure all Child Safe Standard’s processes are complete prior to first mentor session and ongoing compliance requirements communicated
At the request of the Co-ordinator liaise with internal and external stakeholders such as schools, local employers and community members to support the functions of the Program
Support the Coordinator to develop and deliver activities to sessions to enhance the experience for students and mentors
Ensure that the Program session plans are documented and promoted, in advance, when possible
Education, Skills and Experience
Essential Requirements
Working with Children Check
A relevant degree in business, education or training is preferred but not essential. A lower qualification with substantial experience will also be considered
Sound communication, listening and mediation, as well as oral communication, interpersonal and effective management skills
Strong administrative working knowledge of the Microsoft Office suite,
Demonstrated transparent, professional and accountable
Autonomous, with a proactive approach, and demonstrated ability to meet deadlines, achieve goals and to work concurrently on competing priorities. Flexibility with working arrangements is essential
Highly Desired Requirements
Experience to undertake an education role in a not-for-profit, volunteer-based organisation, including a good understanding of compliance, governance and administration needs
Ability to source and manage social media and website content.
